My Favorite Shortcuts for Quickly Navigating Microsoft Excel

  • Moving Between Cells in Excel

  • Navigating the Excel Ribbon

  • Browsing Excel Dialog Boxes

  • Switching Between Excel Sheets

  • Opening and Closing Excel Workbooks

Microsoft Excel is so crammed with cells, sheets, tabs, buttons, and dialog boxes that moving around the program with your mouse can sometimes feel like more effort than it’s worth! Here are my favorite keyboard shortcuts to speed up this process.

Moving Between Cells in Excel Even though I use the Arrow keys in Excel to move up, down, left, or right to a nearby cell, some of the best yet simplest shortcuts let me jump farther in one go. As a result, the days of using the scroll wheel on my mouse in Excel are long gone!

Action Shortcut
Go to the right boundary of the data area Ctrl Right Arrow or End Right Arrow
Go to the left boundary of the data area Ctrl Left Arrow or End Left Arrow
Go to the top of the data area Ctrl Up Arrow or End Up Arrow
Go to the bottom of the data area Ctrl Down Arrow or End Down Arrow
Go to cell A1 Ctrl Home
Go to the last active cell in the sheet Ctrl End
Go to column A in the current row Home
Go to the cell one screen below the active cell Page Down
Go to the cell one screen above the active cell Page Up
Go to the cell one screen to the right of the active cell Alt Page Down
Go to the cell one screen to the left of the active cell Alt Page Up

To select cells as you move between them, press Shift along with the above keyboard shortcuts. For instance, Shift Home selects all the cells in the active row from the active cell to column A, and Shift Ctrl Right Arrow selects all cells between the active cell and the right edge of the data area.

The Best Excel Keyboard Shortcuts I Use as a Power User The key to excelling in your spreadsheet work.

8 Navigating the Excel Ribbon -----------------------------

The key to navigating the Microsoft Excel ribbon is understanding what the Alt key does. When I press and release Alt, a letter appears next to each tab on the ribbon.

Then, when I press one of those corresponding letters (like H to open the "Home" tab), a new code appears for each command.

As a result, some of the Alt keyboard shortcut combinations are now second nature to me, as I use them frequently. For example, I know that Alt > Q takes me to the search field at the top of the window, Alt > H > L > R opens the Conditional Formatting Rules Manager, and Alt > W > VG hides and shows gridlines.

6 Quick Access Toolbar Must-Haves in Microsoft Excel Perform your most valuable Excel commands with a single click.

Although most dialog boxes can be opened through the ribbon, I use more direct shortcuts to access the tools I use most often.
Action Shortcut
Go to the Format Cells dialog box Ctrl 1
Go to the Find And Replace dialog box Ctrl F (Find) or Ctrl H (Replace)
Go to the Go To dialog box Ctrl G or F5
Go to the Paste Special dialog box Ctrl Alt V
Go to the Create Table dialog box Ctrl T
Go to the Insert Function dialog box Shift F3
Go to the Name Manager dialog box Ctrl F3

Browsing Excel Dialog Boxes

Once I’ve used the relevant shortcut to open an Excel dialog box, I continue using my keyboard to navigate it.

Even though it took me a while to stop reaching for my mouse, once I got used to using my keyboard to jump between the tabs and options, I realized just how much time I was saving.

Action Shortcut
Switch to the next tab Ctrl Tab
Switch to the previous tab Ctrl Shift Tab
Jump between controls in a tab Tab
Check or uncheck the selected checkbox Space
Expand the selected drop-down menu Down Arrow
Select an option in the expanded drop-down menu Arrow Keys > Enter
Save changes and close the dialog box Enter

An even quicker way I like to activate a control in a dialog box tab is to press Alt and the underlined letter in the control name. For example, after using Ctrl 1 and then Ctrl Tab to open the Font tab of the Format Cells dialog box, pressing Alt K activated strikethrough, since the letter "k" is underlined in the tool's label.

3 Switching Between Excel Sheets -------------------------------------

If, like me, many of your Excel workbooks contain more than one sheet, you’ll know how annoying it is to switch back and forth between tabs using your mouse. Luckily, these memorable keyboard shortcuts make this process far less time-consuming.

Action Shortcut
Switch to the next sheet (tab) Ctrl Page Down
Switch to the previous sheet (tab) Ctrl Page Up
Create a new tab immediately before the active tab Shift F11

To rename the active sheet, press Alt > H > O > R, type the sheet name, and press Enter.

Opening and Closing Excel Workbooks -------------------------------------

how to find the second largest value in excel how to find the second largest value in excel Jul 08, 2025 am 01:09 AM

Finding the second largest value in Excel can be implemented by LARGE function. The formula is =LARGE(range,2), where range is the data area; if the maximum value appears repeatedly and all maximum values ??need to be excluded and the second maximum value is found, you can use the array formula =MAX(IF(rangeMAX(range),range)), and the old version of Excel needs to be executed by Ctrl Shift Enter; for users who are not familiar with formulas, you can also manually search by sorting the data in descending order and viewing the second cell, but this method will change the order of the original data. It is recommended to copy the data first and then operate.
